Booking considerations

To minimise stress and maximise effect for performers and audiences alike, there follows some considerations to keep in mind while planning your event.

Please read whatever headings you feel may be relevant to you proir to booking.

 

 

Plan well in advance

We start getting booked out early each year,and for larger events we start discussions up to ten months before the event. If you’re considering getting in contact we recommend you do it early.

Programming

While programming here are a few pointers to keep in mind.

  • Keep schedules to times that makes it easier for people to attend
  • Keep it stimulating, by avoiding things that just fill up space.
  • Book sufficient acts to maximise the effect.
  • On low budgets, condense your programme rather than making it too sparse.
  • Unless you want monkeys, don’t pay peanuts.

Confirming dates

Furthering discussion we can pencil in a booking, but no booking is accepted as confirmed until done so in writing. Email confirmations are ideal.

Do you have sufficient help ?

Although Artastic supply enough crew to get your community groups ready for events, we expect that there will be sufficient guardians or stewards to ensure health and safety of community groups.

Preparation space / production space

Each project, event or parade is different, but in most circumstances we require sufficient space for preparation, production and safe storage.

Community groups

It is well advised to have your community group as well informed about your expectations and their commitment prior to the event. Misinformation or unreal expectations lead to disappointment. In particular, with parades, it is advised to have drinks and snacks for participants at end of parade.

Workshops

Workshops are normally facilitated with a project such as a parade as an end product. Dance workshops or workshops for community leaders are the expections to this, which can be facilitated as singular workshops. It is most important that the group are actually interested in workshops, as we are not interested in workshops that are essentially babysitting or crowd control exercises.

Performance route or space

Please ensure that your site or performance route is considerate of both performers and audience. Endless parades with no audience create a low energy, especially for the amateur performer. Keep routes to only relevant areas and the pace of parades at a slow speed. Give enough room to allow participants to perform, in areas where there is sufficient space for audiences to watch.

Solo Performers

When solo perfomances are booked, please keep in mind that a space to get ready is needed. This space needs to be secure so that performers can leave personal belongings in safety. Although it depends on nature of enviroment in which we are expected to perform, in certain circumstances a minder will be required. If you can not provide this then we can discuss a fee for us to provide our own minders.

Logistical Requirements

As our crew will generally be strangers to your town here are some requirements that would may be necessary.

  • A contact person, ideally with a mobile phone number
  • Clear directions of where to go. A map maybe needed.
  • Accommodation will generally be required.
  • Recommendations of where to eat due to the fact that many of the crew are Vegetarians.
  • Information on social events such as festival clubs etc.

Publicity

There is little as disheartening as a show with little or no audience. In organising events sometimes not enough attention is given to publicity. There are simple but effective means of getting the word around, through schools, community groups or local media. After all, your efforts should not go unnoticed in your community.

Insurance

Artastic working with community groups require your the festival organisers to cover us in your festival insurance. In the case that you require us to have our own insurance there will be an additional fee to cover this.

Payment

Payment for each booking can be discussed individually, but projects are normally paid for in instalments, whereas pageant hire is paid for on completion of shows.

Cancellations or unfortunate circumstances

A cancellation fee of up to 100% can be requested depending on season, circumstances and notice given. Full fee will be expected in the event that we attend your festival where unfortunate circumstances, such as acts of nature, or non show of your community groups, occurs.
